About the role
The Project Administrator is responsible for ensuring the efficient day-to-day operation of site activities, including logistics, accommodation, office management, and employee support. This is a highly operational role requiring continuous on-site presence, strong coordination skills, and the ability to manage multiple time-sensitive tasks.
What you will do
Site Logistics & Daily Operations
Coordinate daily vehicle usage, carpooling, and employee transportation.
Support HR with employee accommodation coordination and related practical matters.
Maintain and update employee rotation schedules.
Coordinate site food and refreshment arrangements.
Monitor purchase orders to ensure budget compliance.
Office, PPE & IT-Equipment Management
Procure PPE, office supplies, and coordinate IT equipment needs.
Maintain accurate inventories (PPE, IT, office assets).
Ensure office spaces, storage rooms, and PPE areas are organized and functional.
Collect deliveries and manage incoming orders and mails.
Onboarding, Offboarding & Employee Support
Manage onboarding and offboarding processes on site.
Provide daily support to employees (practical assistance, coordination, document handling).
Administration & Coordination
Manage administrative communication
Participate in HR coordination and weekly meetings
Distribute important updates to employees and subcontractors
Follow up on weekly reporting deadlines
Approve and track invoices in PowerOffice
