Role Overview
We are seeking an organized and detail-oriented Document Controller to support the commercial team in managing all project-related documentation for our construction projects.
Key Responsibilities
Manage and maintain all project documentation, including contracts, tender documents, and correspondence for the commercial team.
Utilise and maintain existing “group” document management platforms e.g. Autodesk, SharePoint etc. Rigidly maintaining and updating relevant information sharing platforms as required. Ensure consistency and compliance with company and project requirements.
Ensure that all project documents are correctly labelled, stored, and easily accessible to relevant stakeholders.
Monitor document submission timelines and ensure accurate version control of all records.
Collaborate with the commercial team to ensure that documents related to tenders, variations, and claims are correctly filed and up-to-date.
Liaise with subcontractors, suppliers, and other stakeholders to ensure timely submission of required documentation.
Provide administrative support to the commercial team, including preparing reports, presentations, and maintaining meeting minutes when required.
Regularly review and update document control systems to ensure they meet evolving project requirements.
Ensure adherence to all confidentiality and data protection policies when managing sensitive documents.
Perform any additional tasks or responsibilities relevant to the role as required.
Required Skills and Experience
Diploma or certification in Business Administration, Document Control, or a related field (or equivalent experience).
Experience working as Document controller/ admin in a construction or engineering environment is highly desirable.
Proficiency in MS Office applications, particularly Excel, Word, Outlook. Previously experience or working knowledge of Autodesk or similar is an advantage but training will be provided as required.
Clear and effective communication skills, both written and verbal.
Ability to work independently and as part of a team in a fast-paced environment.
