The Role
As a Document Controller, you will support the Seinäjoki project by managing and controlling project documentation throughout the project lifecycle. You will work closely with the project team, design and engineering disciplines, subcontractors and other stakeholders to ensure documentation is correctly submitted, reviewed, tracked and maintained within the project’s document management systems.
The role requires someone who is comfortable working hands-on with document control processes and who can take ownership of day-to-day document management activities in a fast-paced construction environment.
Key Responsibilities
Manage project documentation within the project CDEs, including Autodesk Construction Cloud (ACC) and Aconex.
Perform document quality checks before submission, including document numbering, naming conventions, revisions, metadata, status and completeness.
Manage and monitor document review and approval workflows and follow up on outstanding reviews and comments.
Coordinate documentation between CTS, subcontractors, suppliers, design/engineering teams and the client.
Manage and track design documentation, technical submittals, RFIs and other project documentation as required.
Maintain document registers/MDRs and trackers, ensuring document status and revision information remains accurate and up to date.
Monitor outstanding and overdue documentation and proactively follow up with the relevant stakeholders.
Prepare and issue transmittals and maintain complete document histories and traceability.
Ensure superseded and revised documentation is correctly controlled and that project teams have access to the latest approved information.
Support subcontractors and project personnel with document control requirements, procedures and CDE usage.
Support commissioning, quality and handover documentation as the project progresses.
Ensure compliance with CTS and project-specific document control procedures and client requirements.
Qualifications & Experience
Previous hands-on experience as a Document Controller, preferably within construction, engineering, data centres or other complex technical projects.
Good understanding of document lifecycle management, revision control, metadata, workflows and document registers.
Experience working with Autodesk Construction Cloud (ACC) is highly preferred.
Experience with Aconex is an advantage but not essential.
Experience managing technical documentation, drawings, submittals and/or supplier documentation.
Strong Microsoft Office skills, particularly Excel.
Fluent written and spoken English, Finnish would be an advantage.
Strong attention to detail and ability to identify documentation errors before submission.
Able to prioritize workload and follow up proactively in a fast-paced project environment.
Comfortable working independently while coordinating with multidisciplinary project teams and external stakeholders.
